Meeting Cost Calculator

What is a meeting cost calculator — and why should you use one?
A meeting cost calculator shows you the real financial cost of any meeting — in euros or your preferred currency, per minute and in total. Most people think of meetings as free. They aren’t. Every person in a meeting room represents salary costs. A one-hour meeting with five people at an average salary of €55,000 costs over €190. Weekly, that’s nearly €9,000 per year — for a single recurring meeting.
This tool makes that cost visible. Enter your attendees, salary, duration, and frequency — see the price tag instantly.

What is the overhead multiplier?
Salary is not the only cost of an employee. Employers pay additional costs on top of gross salary — social contributions, pension, health insurance, office space, equipment, and other overhead. The overhead multiplier accounts for this.
- 1.0x — salary only, no overhead
- 1.3x — standard, accounts for typical employer costs (recommended for most cases)
- 1.5x — higher overhead, suitable for agencies and consulting firms
- 2.0x — full loaded cost, used in detailed financial planning
For most teams, 1.3x is the most realistic estimate.
Why meeting costs are higher than you think
The numbers surprise most people. Here’s a real example:
A weekly one-hour status meeting with 5 people at €55,000 average salary:
- Single meeting cost: ~€190
- Cost per minute: ~€3.17
- Yearly cost: ~€8,900
- Hours in meetings per year: 235 hours
235 hours is nearly 6 full working weeks — per year — for a single recurring meeting. That’s before counting the preparation time, the follow-up, and the lost focus time before and after.
The goal of this calculator isn’t to eliminate meetings. It’s to make sure the ones you have are worth the cost. Research by Fellow shows that unnecessary meetings cost US businesses upwards of $375 billion per year — and 74% of employees believe they would be more productive with fewer meetings.
When to use a meeting cost calculator
Before scheduling a recurring meeting — calculate the annual cost before committing to a weekly or daily cadence. A 30-minute daily standup with 8 people costs more than most people realise.
Making the case for async communication — show your team the numbers. A single weekly meeting replaced with a written update in DailyBuddy Tasks or a shared board in DailyBuddy Projects can save thousands per year.
Evaluating meeting culture — calculate the total annual cost of all recurring meetings in your team. The result is often the single strongest argument for reducing meeting frequency.
During budget planning — meeting costs are rarely included in team budgets. This calculator gives you the numbers to include them.
Running a live meeting — hit Start live ticker and display the running cost on screen during a meeting. It focuses the room.
Comparing team sizes — calculate the difference between a 5-person and a 10-person meeting. The cost doesn’t just double — it compounds with every additional person.
What you could do with the money instead
The tool includes a lighthearted section showing what the meeting budget could buy instead. It’s a reminder that meeting time has real value — and that value deserves to be treated accordingly.
The same principle applies to your team’s time. Tools that help your team work without unnecessary meetings — Tasks for to-dos and reminders, Projects for shared planning, Send for secure file sharing, and Favorites for shared bookmarks — are often a better investment than another hour in a conference room.

No. Everything runs locally in your browser. Your salary figures and calculations never leave your device.
The overhead multiplier accounts for employer costs beyond gross salary — social contributions, pension, health insurance, office space, and equipment. 1.3x is the standard recommendation for most teams.
The annual salary is divided by the number of working hours per year (work hours per week × work weeks per year) to get an hourly rate. The overhead multiplier is then applied.
Yes. Set the meeting frequency to Daily, Weekly, or Monthly and the tool calculates the yearly cost automatically.
The live ticker shows the meeting cost counting up in real time — €X.XX per minute — as the meeting runs. It's a powerful visual reminder of what the meeting costs per minute.
